PUBLICITY MANAGER

Publicity Management consists of:
Box Office, Friends Administration, Publicity
Mailings Officer, Press Officer
PUBLICITY MANAGER
Prepare publicity schedule in liaison with all officers
Oversee all aspects of publicity, as a chaser/checker and act as a point
of guidance as necessary
Have overall control of publicity budget in conjunction with Treasurer
MAILINGS OFFICER
Organise any external mailings. E.g. Brewhouse Theatre
Manage all mailing lists
Take overall responsibility for all mailings
Consider and organise any relevant reciprocal mailings
PUBLICITY DISTRIBUTION OFFICER
Consult all involved with leaflet & poster distribution to determine
numbers to be produced for each concert
Ensure publicity material is distributed at rehearsals and organise
distribution by choir members
Keep diary of events in catchment area and arrange distribution of
publicity material to these venues at the correct time
Ensure all areas are covered in catchment area which may involve driving
to some areas if there are no choir members available in that area
PRESS OFFICER
Deal with all aspects of media coverage, writing articles for relevant
publications
Organise reviewers for concerts and liaise with Box Office for tickets
Consider any advertising space in press
FRIENDS ADMINISTRATOR
Liaise with Publicity Manager re dates for mailings
Write newsletter
Send welcome letter to all new ‘Friends’
Think about publicising the scheme at concerts
Take charge of organising receptions,
Be on hand to meet and greet ‘Friends’ at receptions
Supply Box Office with up to date list of ‘Friends’ scheme members
Keep up to date record cards and computer records to produce address
labels.
Produce ‘breakdown of scheme’ records from computer as an update on
scheme
Ensure scheme is managed so that lapsed members are chased
BOX OFFICE
Liaise with Publicity Manager and Friends Administrator over dates for
booking periods
Check seating plans with venues
Attend site meetings
Arrange production of tickets
Produce ‘in-house’ booking forms for ‘Friends’ and choir
Ensure booking details are ready for choir members at rehearsals
Get list of ‘Friends’ from Friends Administrator prior to booking
Take orders as they come in by post and phone
Bank monies on regular basis
Liaise with Tourist Information Centre and Cathedral Shop re ticket
sales)
Constant liaison once tickets on sale at these venues
On concert day, sort out sales for day and collect tickets
Pass over to Front of House/ticket seller
Collect all ticket takings after concert and calculate final figure
